Job Brief
The office administrator will coordinate office activities and operations while providing office and administrative support to management and addressing clients’ complaints or concerns regarding the company’s services.
Responsibilities
As an administrative officer at ExC Pharmaceutical, your job is to:
- Coordinate and direct office activities, operations, and functions to maintain efficiency and compliance with company policies.
- Regular interaction with clients through phone calls, email, or physical meetings.
- Respond to clients inquiries in a timely and professional manner
- Maintain an accurate record of all existing and potential clients
- Prepares agendas, makes travel arrangements, and maintains calendars for senior management.
- Oversees telephone services, email correspondence, and mail distribution.
- Maintain office supply inventory.
- Assist clerical and support staff with their assigned duties, particularly when more advanced, skilled, or sensitive work is required.
- Manage agendas/travel arrangements/appointments etc. for the upper management
- Track stocks of office supplies and place orders when necessary
- Maintain office facilities
- Maintain records, documentation, and files.
- Render administrative assistance to colleagues whenever necessary.
Requirements
- Bachelor’s Degree in Business, Administration, or a related field
- Excellent verbal and written communication skills.
- Ability to function well in a high-paced and, at times, stressful environment.
- Basic understanding of how to operate standard business equipment.
- Excellent organizational skills and attention to detail.
- Excellent time management skills with a proven ability to meet deadlines.
- Ability to prioritize tasks and delegate them when appropriate.
- Proficient with Microsoft Office Suite or related software.

- Support pharmacist with all inventory by counting drugs plus supplies.
- Ensure to receive and put incoming supplies on shelves.
- Rotate stock, and move older medications to front shelf use before expiration date.
- Ensure appropriate approval of the expenses used for the daily running of the business.
- Maintain a clean and well-arranged shelf.
- Ensure the pharmacy is always well-arranged and clean.
Requirements
- Certification / Degree in Sciences
- Good team player
- CHEW certification is an added advantage
- Decision-Making Skills:
