Job Summary
- They are seeking a highly reserved, organized, and proactive administrative assistant to provide excellent support to their senior management team.
- The ideal candidate will be an honest and resourceful professional with knowledge of how to manage multiple tasks and priorities in a fast-paced environment.
- As the administrative assistant for senior management, you will play an important role in ensuring the smooth and efficient running of their executive office.
Main Responsibilities
- You will act as an assistant to the designated executives and attend to their work-related needs to ensure smooth and successful operations.
- You will arrange and manage the complex schedules of senior executives, which include scheduling meetings, appointments, and travel arrangements.
- You will serve as the immediate point of contact for internal and external communications directed to senior management, screening calls, managing emails, and drafting correspondence as needed.
- You will organize and coordinate conferences, meetings, and events for senior management, including preparing agendas, coordinating logistics, and arranging catering.
- You will maintain and organize electronic and hard copy files, records, and documents and always ensure confidentiality and accuracy.
- You will arrange travel itineraries and accommodations for senior executives, including flights, hotels, ground transportation, and visas when necessary.
- You will process expense reports and reconcile credit card statements for senior management, ensuring compliance with company policies and procedures.
- You will assist with various projects and initiatives as assigned by senior management, providing administrative support and coordination as needed.
- You will collaborate with other administrative staff and departments to support cross-functional initiatives and ensure seamless communication and coordination.
Qualifications & Skills
- Bachelor’s Degree in Business Administration or related field.
- Proficiency in project management tools and software.
- Minimum two (2) years experience as an administrative or executive assistant to senior management.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Critical thinking and analysis.
- Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
- Strong communication and interpersonal skills, with a professional and courteous demeanor.
- Discretion and confidentiality when handling sensitive information and correspondence.
- Ability to work independently with minimal supervision and as part of a team.
- Flexibility and adaptability to changing priorities and demands.
