Position Summary:
An executive assistant plays an important role in providing high-level administrative support to top executives within the organization. This role demands exceptional organizational abilities, discretion, and the capability to handle sensitive information with professionalism. The Executive Assistant serves as a key point of contact for internal and external stakeholders, managing executive schedules, coordinating meetings, and overseeing various administrative tasks to ensure seamless operations within the executive office.
Responsibilities:
- Calendar Management: Efficiently manage executive calendars, scheduling meetings, appointments, and travel arrangements while considering priorities and time constraints.
- Communication Management: Screen and prioritize incoming calls, emails, and correspondence, responding to inquiries on behalf of the executive and redirecting as necessary.
- Meeting Coordination: Coordinate and schedule internal and external meetings, including logistical arrangements, agenda preparation, and minute-taking when required.
- Travel Arrangements: Organize travel itineraries, accommodations, and transportation for executive travel, ensuring cost-effectiveness and meeting executive preferences.
- Document Preparation: Prepare and edit documents, presentations, reports, and other materials as requested by the executive, ensuring accuracy and adherence to company standards.
- Information Management: Maintain organized filing systems, databases, and contact lists, managing documents and records with confidentiality and accessibility.
- Relationship Management: Cultivate and maintain positive relationships with internal and external stakeholders, including clients, vendors, and executive contacts.
- Task Prioritization: Effectively prioritize and manage multiple tasks, addressing urgent matters promptly while upholding attention to detail and accuracy.
- Executive Support: Offer comprehensive administrative support to executives, anticipating needs, proactively addressing issues, and proposing solutions as necessary.
- Special Projects: Assist with special projects, research assignments, and other tasks as assigned by the executive, contributing to organizational objectives.
Requirements:
- Bachelor’s Degree in business administration, office management, or a related field is preferred.
- Proven Experience: Previous experience as an executive assistant or in a similar administrative role, preferably supporting C-suite executives or senior management.
- Organizational Skills: Excellent organizational and time management skills, with the ability to prioritize tasks effectively and meet deadlines in a fast-paced environment.
- Communication Skills: Strong verbal and written communication skills, with the ability to interact professionally with individuals at all levels of the organization.
- Discretion and Confidentiality: Demonstrated discretion and ability to handle confidential information with sensitivity and integrity.
- Technology Proficiency: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software; experience with calendar and email management tools.
- Adaptability: Flexibility and adaptability to changing priorities and responsibilities; ability to work independently and as part of a team.
- Attention to Detail: Keen attention to detail and accuracy in all tasks, including document preparation, scheduling, and data management.
- Problem-Solving Skills: Strong problem-solving skills, with the ability to anticipate issues, identify solutions, and make informed decisions.
- Professionalism: Professional demeanor, with a positive attitude, strong work ethic, and commitment to maintaining high standards of performance.
Salary: N150,000 per month
