Job Description
The Administrative/Human Resource Assistant plays a pivotal role in delivering effective administrative and HR services to both internal and external clients in adherence to established rules, guidelines, processes, and procedures. This position adopts a client-oriented and result-focused approach, offering administrative and HR-related guidance to both the Country Office (CO) and UNFPA-supported projects. Reporting directly to the Administrative Associate, Human Resources, the incumbent collaborates closely with operations and program staff within the Country Office.

The Administrative Assistant has a crucial role in advancing these objectives by providing essential administrative and HR support to facilitate the smooth implementation of UNFPA’s programs and initiatives.
Roles And Responsibilities
- Provide expert advice to staff on UN/UNFPA personnel and administrative rules and regulations, as well as ERP (Quantum) HR modules.
- Support the Administrative Associate, HR in day-to-day HR operations, including recruitment, learning and development, performance management, and employee relations.
- Prepare personnel-related reports and analyses, and draft responses to inquiries for review by the Administrative Associate, HR.
- Collaborate with the Programme/Technical Team on HR administration and staffing-related matters.
- Maintain accurate and up-to-date personnel status files in a confidential manner.
- Implement corporate HR management policies and strategies in support of the Country Office’s operations.
General Administration
- Interpret UN/UNFPA human resource rules, policies, and procedures, providing guidance to CO staff.
- Develop tools and mechanisms for monitoring human resource activities effectively.
- Review and prepare human resource materials for common system activities.
- Serve as an alternate UNFPA representative in UN human resource-related inter-agency meetings and working groups.
Qualifications and Requirements
- Completed secondary school education; Bachelor’s degree or Higher National Diploma in Human Resources Management, Business or Public Administration, Psychology, or related discipline desirable.
- At least 5 years of relevant experience in Human Resource Management in the public or private sector.
- Proficiency in office software (Word, Excel, PowerPoint) and web-based applications/ERP integrated systems.
- Fluency in spoken and written English.
